You are summoned to attend the ALLOTMENT COMMITTEE MEETING at 7.15pm to be held at the Reading Room on Monday 29th September 2025 for the purpose of considering and resolving upon the business to be transacted as set out hereunder.

1. WELCOME

2. APOLOGIES
To receive apologies for absence

3. TO RECEIVE DECLARATIONS OF PECUNIARY INTEREST & REQUESTS FOR DISPENSATION IN ACCORDANCE WITH THE LOCALISM ACT 2011                                                                                                    To receive declarations of members’ interests in relation to agenda items and any requests for dispensations.

4. APPROVAL OF MINUTES
To resolve to approve the minutes of the Allotment Committee Meeting held on 16th June 2025 and the extraordinary meeting 30th June 2025

5. SITE REPORT
a.  To receive a verbal site report
b.  To consider the pony paddock with regard to planned usage, maintenance and health and safety
c.  To resolve to approve the priority matrix for the Allotments

6. FINANCES
a.   To receive an update on the purchase and installation of solar panel(s) at the allotments. To include powerbank and any other related equipment
b.   To resolve to approve security camera quotes
c.   To resolve to approve the spending limits and procedures for the BPCAC
d.   To review the proposed budget versus last year and to add any comments and make proposed changes (add new expenditure, amend spend up or down). To be resolved for approval and returned to the RFO by end of October

7. ALLOTMENT ALLOCATIONS, WAITING LIST AND PLOT REPORT
a.  To resolve to move into closed session in accordance with the Public Bodies Act 1960, due to the confidential nature of matters to be discussed regarding plot allocations, waiting list and plot report
b.  To note the latest allotment allocations, waiting list, letters sent and the allocation of any vacant plots
c.  To receive a plot report
d.  To move back into open session

8. ALLOTMENT TENNANCY RULES
To review and resolve to approve the following changes to the tenancy rules:
a.   Amendment to the rules on the use of sprinklers to include polytunnels
b.   Addition to the tenancy agreement to cover refunds of rents on the ending of a tenancy.
c.  Clarification on the treatment of items left on site by tenants following their departure
